Travel Insurance
Imperial College provides comprehensive business travel insurance through American International Group UK Limited (AIG) for staff and students. This policy covers:
- Emergency Medical Assistance: Reasonable medical expenses abroad.
- Security: AIG’s Travel Assistance App, offering 24/7 support for emergencies and security issues while traveling. This service helps with both medical and security-related concerns, ensuring you have access to real-time information and guidance throughout your trip.
- Travel Disruptions: Additional travel and accommodation expenses incurred due to uncontrollable changes in travel plans.
- Personal Belongings: Protection for personal belongings in case of loss, theft, or damage.
- Personal Liability: Coverage for third-party liability while on business travel.
Important Notes:
Travel Restrictions: Always review the Foreign, Commonwealth Development Office (FCDO) travel advise before booking. If no advisory is in place at the time of booking and one later arises, the policy will cover reasonable costs for trip cancellation or postponement. However, if you book during a restricted advisory, coverage will be limited, likely excluding cancellation or changes, as the risk was known. Medical expenses will still be covered.
Sanctioned Countries: If you are travelling to any of the following countries please complete and return to Insurance@imperial.ac.uk in good time for your planned trip as insurers need to confirm cover is in place.
Iran, Cuba, Syria,Sudan,North Korea, Venezuela, Russia or Ukraine (Crimea and Sevastopol)

- Risk assessment: Complete the appropriate risk assessment for your trip. Your faculty health and safety team will be able to advise you.
- Approval: Your department must approve your trip.
- Online Application: Complete the travel insurance registration form
- AIG App: Download the AIG Travel Assistance App and use policy number 0010016145 for 24/7 support
- High Risk: For high risk trip please contact insurance@imperial.ac.uk
- Staff: Work-related travel.
- Students: Placement, fieldwork, or research approved by their department.
- Accompanying Persons: Spouses, partners, and children can be included in the coverage if they are traveling with the staff member or student
The Travel Insurance Certificate provides you details of the 24 hour emergency help line and new policy number. You can also download the AIG Travel Assistance App from the Apple app store or Google Play store and register as a new user with the policy number 0010016145 . You will then have immediate access to the insurers 24 hour emergency help line. You can use this for Visa applications too.
Cover includes medical and security travel assistance. AIG provides comprehensive worldwide security assistance through their webpage where you can find useful information for your pre-trip planning and ongoing security assistance throughout your trip
Cover excludes personal holidays, travel to and from Imperial, and trips home. The primary purpose of your travel must be university-related business. Incidental travel is permitted but is limited based on the number of business travel days and must remain within the same country. For details on the number of personal days allowed, please refer to the Incident Allowance guidelines.
In case of an emergency or disruption, contact AIG’s 24-hour emergency helpline via the app or information available on your Travel Certificate.
To make a claim under the travel insurance policy, follow these steps:
- Report the Incident: In case of an emergency or disruption, contact AIG’s 24-hour emergency helpline via the app or information available on your Travel Certificate. For all other non-medical/security emergencies email insurance@imperial.ac.uk as soon as possible after the incident occurs.
- Gather Documentation: Collect all necessary documentation to support your claim. This may include:
· Medical reports and receipts for medical expenses.
· Police reports for theft or loss of belongings.
· Receipts and proof of purchase for lost or damaged items.
· Travel documents such as tickets and boarding passes for travel disruptions. Details of any refunds from the airline. - Complete the Claim Form: Fill out the travel insurance claim form. Ensure all details are accurate and complete.
- Submit the Claim: Send the completed claim form along with all supporting documentation to
- Receive Reimbursement: Once your claim is approved, the funds will be sent to your nominated bank or GL/project code.

Imperial College’s travel insurance covers loss, theft, or accidental damage of personal property and money, with reimbursement for repairs or replacements up to £2,500.
If property is temporarily lost for over four hours during a trip, up to £400 can be claimed for essential replacements. For lost or stolen travel documents, up to £1,500 can be reimbursed for replacement costs.
The policy excess is £50. Exclusions and restrictions on claims for certain items or conditions apply. Further information can be found here.

There are 2 types of cover available. You can apply for either:
- A UK Global Health Insurance Card (UK GHIC)
- A UK European Health Insurance Card (UK EHIC), if you have rights under the Withdrawal Agreement.
The card allows UK residents to receive free or reduced cost medical care when travelling or staying temporarily in an EU country or Switzerland. The card is valid for five years and covers medical care if you become ill or have an accident during your trip. Also see Occupational Health's webpage Travel.
