Instructions for Undergraduate students. MSc students should contact the PG Senior Tutor 

 

If something unexpected, unforeseen and outside your control has happened that prevents you from submitting your coursework in time, then you can request an extension to the deadline.

Summer break extension requests:

Due to the limited time between the deadlines for coursework submission (incl. FYP) and the September Examiner's Board meeting, extensions will not be granted unless in emergencies. Emergency extensions cannot be longer than 24 hrs. You will need to contact the Assistant Senior Tutor - Prof. Z. Durrani - in that case. During the period of 5 Aug to 16 Aug, e-mail  eee-ug-senior-tutor@imperial.ac.uk rather than Prof. Durrani. In all cases that might require longer than 24 hrs extensions, a mitigating circumstances request with professional evidence should be submitted and  eee-ug-senior-tutor@imperial.ac.uk contacted.

If something unexpected happened that is not a result of poor time keeping or poor organisational skills from your side, then you can request an extension of 48 hrs or 1 week (except lab orals). Please submit your request using our extensions app. Longer extensions than 1 week are not granted as those interfere with subsequent submission deadlines. If longer extensions are required then you need to contact the Assistant Senior Tutor, Prof. Zahid Durrani for advice.

Extensions should be requested well before the deadline and not later than 48 working hrs before the deadline. Late requests will be rejected. Extensions should be requested during working hours – Mon to Fri, 9 am till 6 pm because they will need to be approved by the Assistant Senior Tutor and the Department Disabilities Officer before they become active. This means that extension requests during the weekend will not be considered until the following Monday. Late requests that cannot be approved in a reasonable time will be considered under the College’s Late Submission Policy.

Extensions of 48 hrs will be granted with self-certification when it happens sporadically and will not be granted more than 2 times per term. Students in need of multiple 48 hrs extensions, should contact the Assistant Senior Tutor, Prof. Zahid Durrani or will be contacted by the student support team (DDO, SWA, AST or ST).

Extensions of 1 week will need professional evidence to support the request and will thus need to be submitted in good time for consideration. Extensions can be granted with pending evidence but you need to contact the Assistant Senior Tutor, Prof. Zahid Durrani to ask permission. Late evidence will need to be submitted within 10 working days from the submission deadline. A lack of evidence will revert the extension approval and your work will be considered under the College’s Late submission Policy.

When an extension to a deadline has been granted then the event is considered mitigated.

What can you ask extensions for?

Coursework, e.g. in 3rd and 4th year modules might have coursework components for which 48 hrs or 1 week extensions can be requested. Upon approval the course leader will be contacted by the AST.

Group projects, extensions will not normally be considered as the collaboration within the team can normally mitigate for the reduced performance of a team member. However, in exceptional cases where the whole team is impacted, extensions can be considered. First talk to the module leader to evaluate whether an extension request is appropriate.

Individual projects, inclusive final year projects. For final year projects, Dr. Clarke should also be consulted before proceeding with an extension request. Since the deadline for FYP reports and presentations fall very close to the end of term and the July Examiners’ meeting, these extensions are either short or if longer extensions are needed then graduation will be postponed to the September examiners’ meeting. Deadlines for short extensions to FYPs and FYP presentations should end at least 10 working days before the examiners’ meeting.

Lab orals. This is mainly for 1st and 2nd year students. Extensions to lab orals do not follow the normal 48 hrs/1 week. The extension is decided by the AST and the lab organiser in conversation with you. These extensions can fall within the term, at the start of the following term or during the summer term exam period.
